# 7 Mistakes Employers Make After a Workplace Injury

A workplace injury can happen anywhere, but how an employer responds in the hours and days that follow can affect the injured worker long after the injury. Even well-intentioned employers can make mistakes that complicate the recovery process and increase workers' compensation expenses.

Here are seven common mistakes employers make after a workplace injury, along with tips on how to avoid them.

##### **1. Delaying the Injury Report**

One of the most costly mistakes employers make is waiting too long to report an injury. Whether the delay occurs because a supervisor is unavailable, paperwork is incomplete, or the injury appears minor, late reporting can significantly increase claim costs.

Prompt reporting lets carriers and claims professionals begin investigating the incident, coordinate medical care, and address concerns before they become larger issues.

**Best Practice:** Report all workplace injuries immediately, regardless of severity. Even minor injuries can turn into more significant claims over time.

##### **2. Failing to Provide Proper Medical Direction**

After an injury, employees may be unsure where to seek treatment or what to do next. Without clear guidance, delays in medical care can occur, potentially prolonging recovery and impacting claim outcomes.

Employers should ensure injured employees understand the process and have access to appropriate medical resources.

**Best Practice:** Establish a clear injury response procedure and communicate it regularly to supervisors and employees.

##### **3. Poor Documentation of the Incident**

Details matter. Incomplete accident reports, missing witness statements, and missing photographs can make claims harder to manage and investigate.

Accurate documentation not only supports efficient claim handling but can also help identify root causes and prevent similar incidents in the future.

**Best Practice:** Collect detailed information immediately following the incident, including:

- Date and time of injury
- Location of incident
- Witness statements
- Photos of the scene
- Equipment involved
- Supervisor observations

##### **4. Lack of Communication with the Injured Employee**

Some employers become so concerned about saying the wrong thing that they stop communicating altogether. Unfortunately, a lack of communication can leave injured employees feeling disconnected, frustrated, or unsupported.

Regular contact shows concern for the employee's well-being and helps keep everyone informed throughout the recovery process.

**Best Practice:** Stay engaged with the employee through periodic check-ins while respecting medical privacy requirements.

##### **5. Not Investigating the Root Cause**

Many organizations focus solely on managing the claim and overlook an important opportunity to improve workplace safety.

Every injury should prompt a review of what happened, why it happened, and what changes can prevent future incidents. Without a proper investigation, the same hazards may remain.

**Best Practice:** Conduct a root cause analysis and implement corrective actions as quickly as possible.

##### **6. Ignoring Return-to-Work Opportunities**

The longer an employee remains off work, the more likely claim costs will increase and recovery periods will lengthen.

Many employees can safely return to work in modified or transitional-duty positions while they recover. These programs help employees stay connected to the workplace and can improve claim outcomes.

**Best Practice:** Develop a formal return-to-work program that identifies temporary light-duty opportunities before injuries occur.

##### **7. Assuming "It Won't Happen Again"**

A workplace injury should never be viewed as an isolated event. Even when circumstances appear unique, every claim provides valuable insight into workplace risks.

Organizations that fail to learn from incidents often experience repeat injuries, higher claim frequency, and increased insurance costs.

**Best Practice:** Regularly review claims trends, identify recurring injury patterns, and adjust safety training and procedures accordingly.

##### **Turning Injuries into Opportunities for Improvement**

No employer wants to experience a workplace injury, but every claim offers an opportunity to strengthen safety practices, improve employee communication, and reduce future risk.

By reporting injuries promptly, documenting thoroughly, maintaining open communication, and focusing on prevention, employers can improve outcomes for both their employees and their organization.

The actions taken in the first 24 hours after a workplace injury often have the greatest impact on the life of the claim. Having a plan in place before an injury occurs can make all the difference.
